會議邀請函是專門用于邀請特定單位或人士參加會議，具有禮儀和告知雙重作用的會議文書。
邀請函用于會議活動時，與會議通知的不同之處在于：邀請函主要用于橫向性的會議活動，發送對象是不受本機關職權所制約的單位和個人，也不屬于本組織的成員，一般不具有法定的與會權利或義務，是否參加會議由對象自行決定。舉行學術研討會、咨詢論證會、技術鑒定會、貿易洽談會、產品發布會產等，以發邀請函為宜。而會議通知則用于具有縱向關系(即主辦方與參會者存在隸屬關系或工作上的管理關系)性質的會議，或者與會者本身具有參會的法定權利和義務的會議，如人民代表大會、董事會議等。對于這些會議的對象來說，參加會議是一種責任，因此只能發會議通知，不能用邀請函。學術性團體舉行年會或專題研討會時，要區別成員與非成員。對于團體成員應當發會議通知，而邀請非團體成員參加則應當用邀請函。
會議邀請函的基本內容與會議通知一致，包括會議的背景、目的和名稱;主辦單位和組織機構;會議內容和形式;參加對象;會議的時間和地點、聯絡方式以及其他需要說明的事項。
由會議名稱和“邀請函(書)”組成，一般可不寫主辦機關名稱和“關于舉辦”的字樣，如：《亞太城市信息化高級論壇邀請函》?！把埡比质峭暾奈姆N名稱，與公文中的“函”是兩種不同的文種，因此不宜拆開寫成“關于邀請出席××會議的函”
(1)發送到單位的邀請函，應當寫單位名稱。由于邀請函是一種禮儀性文書，稱呼中要用單稱的寫法，不宜用泛稱(統稱)，以示禮貌和尊重。
(2)邀請函直接發給個人的，應當寫個人姓名，前冠“尊敬的”敬語詞，后綴“先生”、“女士”、“同志”等。
(3)網上或報刊上公開發布的邀請函，由于對象不確定，可省略稱呼，或以“敬啟者”統稱。
正文應逐項載明具體內容。開頭部分寫明舉辦會議的背景和目的，用“特邀請您出席(列席)”照應稱呼，再用過渡句轉入下文;主體部分可采用序號加小標題的形式寫明具體事項;最后寫明聯系聯絡信息和聯絡方式。結尾處也可寫“此致”，再換行頂格寫“敬禮”，亦可省略。
